Data Protection Policies for Charities

Policies aren’t just documents to be filed away or left on the shelf gathering dust! A set of well-drafted policies and procedures, pecifically tailored to your organisation, should define, regulate and inform the way your organisation runs.

The Data Protection Act 2018 came into force at the end of May 2018 and it has implemented the data protection standards under the EU General Data Protection Regulation (GDPR). All organisations must be able to demonstrate compliance with the new data protection rules, and one of the most basic ways of achieving this is to have a set of clear and comprehensive policies in place. Of course, you also need the procedures, staff training and compliance with the policies and procedures too, but having the right policies is a good place to start.

The new standards require you to have the following:

  • A privacy policy – containing the same information that you are currently required to provide, but with additional information to be included;
  • A policy on action to be taken in the event of a data breach;
  • A data retention policy.

Stone King are pleased to be able to offer a set of template policies for your organisation – which cover the elements set out above, but also other useful policies and notes that will assist in demonstrating understanding and compliance with the new Regulations. The complete package includes:

  • A cover note on GDPR;
  • A personal data audit checklist;
  • A general Data Protection Policy, which covers what happens in the event of a data breach;
  • A template general Privacy Policy;
  • A template Privacy Policy for your workforce;
  • A Legitimate Interest Assessment template;
  • A Data Retention Policy;
  • A basic IT Policy template;
  • A data processor checklist;
  • A privacy impact assessment checklist.

The key to drafting a policy is PROPORTIONALITY in relation to the size of the organisation and the activities which it carries out. Our focus when working with charities on their policies is to provide excellent advice and guidance on creating policies suitable for the organisation and ensuring they are clear on how to practically implement the policies, for example, through staff training, whilst always bearing in mind proportionality.

The set of templates can be purchased from Stone King at a cost of £750.00 plus VAT. They are designed to allow you to review and implement them in the way that best suits your organisation. We can also offer a follow up service to assist you with making the policies bespoke to your organisation.
